When planning a party or celebration, a host or hostess can become overwhelmed with the idea of the amount of work and detail that goes into creating a memorable occasion. There are many details that comprise a perfect party and being in control of the different steps that must be attended to will be very helpful. With careful planning and preparation, the host will be able to enjoy the party as much as the guests and there will be no details left to the last moment. Following these simple tips will assure that you are prepared and ready for a great celebration.

 

Select a theme. The theme you choose should be relevant to the celebration. It is important that you consider the time of year so that people will be able to dress appropriately for the party. Choosing two or three colours from your theme will be a great way to carry your theme through the entire experience and complement the celebration as well as the theme you have selected. Coordinating the decorations, accessories, and food will give your party the impact your want.

 

Select invitations - Choosing invitations that complement your theme and include RSVPs will help you to keep track of the number of attendees. When you are completing your invitations, give a time frame for returning the RSVP. As they are received, keep a record of who will be attending and the number.  After the deadline for RSVP passes, call those individuals who have not responded to make sure they received their invitation. Even with this process, you will have some attendees who did not RSVP, so plan on making extra place settings and food for the party. In this way you will not have the embarrassment of not having enough food or table settings for all of the guests.

 

Timeframe for the party. Include the timeframe for the party. This is especially important for children's parties since parents will be dropping off and picking up. For adult parties a timeframe is a good idea so that people can make transportation plans or let you know if they need to leave the party early.

 

Choosing food for the party. When you are going to have a formal dinner party, it is sometimes more effective and affordable to hire a caterer who specializes in home parties. They will bring all of the equipment they need and set up in your kitchen area so you can focus your attention on your guests. This is an especially good idea for a person who does not regularly cook for a large number of people. If you are planning on preparing the meal yourself, it is wise to do as much of the preparation ahead of time as possible. Freeze those items that allow it, and pre-make salads, etc., and put in your refrigerator. In this way you will be able to spend less time on the day of the party preparing food. In addition, it is important that you prepare foods you are comfortable with. A formal party with several attendees is not a good place to learn how to cook a special dish.

 

Decorate and prepare for the party at least a day ahead of time. This will give you some time to relax and rest so that you will be refreshed when your guests arrive. If possible, lock any rooms that the guests should not have access to. If you have children, take them to a sitter during the party, unless you want them in attendance.  Making a checklist and budget before you begin will help you to stay focused and complete all of the tasks required to make the party a memorable event.
