As a host you must do some pre-planning and preparation to assure that you have all of the details for the celebration ready. With careful planning, you will not have any details to attend to at the last moment and you will be able to enjoy the party and your guests completely. There are some simple tips you can follow to assure that your party is exactly the way you envision.
Choose a theme - There are many themes to choose from and it will be important to consider your budget when you are selecting the theme for your party. The theme you select should be appropriate for the time of year and the event you are celebrating. Once you have chosen your theme, select two or three colours from the theme that will be used on the decorations and accessories for your party. By coordinating your decorations, theme, and food, you will be able to complement the event and make it more enjoyable for you and your guests.
Choose invitations - Sending invitations to your party will be important. Do not depend on word-of-mouth to reach all of the people you want to invite to your event. Including RSVPs in the invitation will help you to accurate determine the amount of food and refreshments you will need. Be sure that you give a deadline for returning the RSVP so that you will know when to begin calling those people who did not respond. It will also help you to accurately calculate the tables, chairs, and other seating arrangements that will make your guests comfortable. Always plan on a few extra people showing up that did not RSVP and who you could not contact. This will keep you from an embarrassing situation of not having enough food or place settings for all of your guests.
Timing for the party. Plan on the overall time that will be spent at the party. Including a time frame on the invitation will help your guests to be prepared to stay for the duration of the party. This is especially important with children's parties when parents need a drop-off and pick-up time.
Planning food for the party. If you are planning a formal dinner party, you may want to enlist the assistance of a caterer for this part of your party. Finding a caterer who can work in your location will allow you to focus more fully on your guests and will take the burden of cooking the food off your shoulders. If you are going to be preparing a meal for the party, making as much food ahead of time and freezing it will be very helpful. You will be able to make doughs for pastry, salads, etc., ahead of time and take them from the refrigerator prior to the party. Planning a menu that will not be a challenge for you to prepare will also be important. A dinner party goes much more smoothly if the hostess is not worrying about how the food will taste.
Get as much of the preparation done for the party as possible at least a day ahead of time so that you have some time to relax before your party begins. This will help you to be refreshed and welcoming for your guests when they arrive. While planning a party may seem overwhelming, if you create a checklist, then follow it carefully, you will not be caught off-guard when the party begins.
